Workshop Terms & Conditions for Hosts
Nestopia Creative Hub (Non-Profit Organization)

These Workshop Terms & Conditions (“Terms”) apply to artists and creatives (“Workshop Host”) applying to host a workshop at Nestopia Creative Hub, a non-profit organization based in Cyprus. By submitting a workshop proposal and/or hosting a workshop at Nestopia Creative Hub, you confirm that you have read, understood, and agree to these Terms.
1. Scope of Collaboration
• Workshops are proposed and led by the Workshop Host.
• The Workshop Host defines the workshop concept, content, structure, duration, participation fee, and intended audience.
• All workshops must align with the mission, values, and non-profit nature of Nestopia Creative Hub.
• Nestopia Creative Hub reserves the right to approve, reject, or request modifications to workshop proposals.
2. Accuracy of Information
The Workshop Host confirms that all information submitted via the application form is accurate, complete, and truthful. Nestopia Creative Hub reserves the right to withdraw approval or cancel a workshop if any information is found to be misleading, false, or materially incomplete.
3. Use of Space
• Nestopia Creative Hub provides the workshop space as is.
• No equipment, materials, assistants, technical support, or insurance coverage are provided unless explicitly agreed in writing.
• The Workshop Host is responsible for bringing all necessary equipment and materials.
• The space must be used respectfully and left in its original condition.
Any damage caused to the space or equipment due to misuse may result in liability for repair or replacement.
4. Promotion & Administration
• Nestopia Creative Hub will promote approved workshops through its website, newsletter, and social media channels.
• Nestopia Creative Hub manages participant registrations, communications, and payments.
• The format, timing, and extent of promotion remain at the discretion of Nestopia Creative Hub.
5. Fees, Revenue & Payments
• The Workshop Host sets the participation fee.
• A 20% hosting and administrative fee is deducted from the total workshop revenue.
• The remaining amount is paid to the Workshop Host via bank transfer or PayPal within 15 business days after completion of the workshop.
• The Workshop Host is solely responsible for declaring income and complying with applicable tax and social insurance obligations under Cyprus and/or EU law.
6. Minimum Participation
Workshops may be subject to a minimum number of participants.If the minimum number is not reached, Nestopia Creative Hub reserves the right to cancel or reschedule the workshop, in consultation with the Workshop Host.
7. Cancellations
• The Workshop Host must inform Nestopia Creative Hub as early as possible in case of cancellation or inability to deliver the workshop.
• Participant refunds, where applicable, are handled by Nestopia Creative Hub.
• Repeated or late cancellations may affect eligibility for future collaborations.
8. Responsibility & Liability
• The Workshop Host is responsible for the workshop content, methodology, and conduct.
• The Workshop Host must ensure that activities are safe, lawful, and appropriate for participants.
• Participation in workshops is at the participant’s own risk.
To the extent permitted by EU and Cyprus law, Nestopia Creative Hub shall not be liable for:
• personal injury
• loss or damage of personal belongings
• indirect or consequential damages arising from workshop activities
9. Documentation & Promotional Use
Nestopia Creative Hub may document workshops through photography or video for non-commercial promotional and archival purposes, including use on its website and social media. By hosting a workshop, the Workshop Host grants Nestopia Creative Hub a non-exclusive, royalty-free right to use such material for communication and promotion of its non-profit activities.
10. Code of Conduct
Workshop Hosts are expected to foster a respectful, inclusive, and discrimination-free environment. Nestopia Creative Hub reserves the right to interrupt or discontinue a workshop in cases of inappropriate, harmful, or unethical behavior.
11. Data Protection (GDPR)
Personal data submitted through the application form is processed in accordance with the EU General Data Protection Regulation (GDPR) and Nestopia Creative Hub’s Privacy Policy.
Data is collected solely for the purpose of evaluating proposals, managing workshops, and fulfilling administrative obligations.
12. Governing Law
These Terms are governed by the laws of the Republic of Cyprus and applicable European Union legislation.
13. Acceptance of Terms
By submitting a workshop proposal, the Workshop Host confirms acceptance of these Workshop Terms & Conditions.
